How to Fill PDF Forms Online Without Printing
Stop printing PDF forms to fill them by hand. Learn how to type directly into PDF forms online, sign them digitally, and send — all without printing a single page.
Two Types of PDF Forms
Interactive (fillable) forms have actual form fields — text boxes, checkboxes, radio buttons — you click to type in. Created with form-building software.
Flat (non-fillable) forms look like forms but are fixed text layouts or images. Clicking does nothing; you'd need to print and write, or overlay text on top.
How to tell which you have: Open the PDF and try clicking where a text field appears. If your cursor changes to a text cursor and you can type, it's interactive. If nothing happens, it's flat.
Filling Interactive Forms
Adobe Acrobat Reader (Free)
- Open PDF in Acrobat Reader
- Click any form field — blue highlight and text cursor appear
- Type your response; click checkboxes and radio buttons to select
- File → Save As to save your completed form
Signing: Click the signature field → Create signature by drawing, typing, or uploading an image → apply → save.
Browser (Chrome or Edge)
- Open PDF in Chrome or Edge
- Click form fields and type
- Ctrl+S to save the filled form
Works for most simple forms. Complex form features (calculations, conditional fields) may not function in browser viewers.
Preview on Mac
- Open PDF in Preview
- Click form fields and type
- Cmd+S to save
Filling Flat (Non-Fillable) Forms
Adobe Acrobat Reader — Fill & Sign Tool
- Open PDF in Acrobat Reader
- Click Fill & Sign in the right panel
- Click where you want to add text on the page
- Type — text appears as an overlay
- Drag to align with the printed field; resize with font size controls
- Save when complete
Convert to Word, Fill, Export Back
- Convert to Word using PDF to Word
- Fill in the Word document
- Export back to PDF: File → Save As → PDF
Works well for text-heavy forms; may affect precise field positioning.
Digital Signatures
Types of signature:
- Drawn/typed image — Visual signature, no legal verification
- Digital certificate signature — Cryptographically verified, tamper-evident
For most everyday forms (job applications, consent forms), a drawn signature image is sufficient. For legal contracts or government submissions, a certified digital signature may be required.
Creating a drawn signature in Acrobat Reader:
- Click the signature field
- Choose Draw, Type, or Image
- If drawing, use mouse or stylus
- Click Apply → click where to place it → save
Saving and Submitting Completed Forms
Always use Save As (not Save) to create a new file and preserve the original blank form.
Emailing: Attach the completed PDF as normal.
Submit buttons: Some PDFs have a Submit button that sends data to a server or opens email with form data attached. Click and follow prompts.
Troubleshooting
"Features not supported by this viewer": The form uses XFA or JavaScript. Use Adobe Acrobat Reader specifically.
Save is greyed out: PDF is not rights-enabled for saving. Use File → Save As instead.
Calculations not working: Enable JavaScript in Acrobat: Edit → Preferences → JavaScript → Enable Acrobat JavaScript.
Text doesn't fit in field: Reduce font size in Fill & Sign, or ask the form creator for an expandable-field version.
Frequently Asked Questions
Is a PDF digital signature legally valid? In most countries, yes for business purposes. Wills and certain court filings may require witnessed wet signatures or certified digital certificates.
Can I fill a password-protected form? Open it with the password. If protected against modification, you may need the permissions password removed first.
Can I fill forms on my phone? Yes — Adobe Acrobat's mobile apps support both interactive and flat form filling with signature capture.
Summary
Interactive PDF forms fill directly in Acrobat Reader, Chrome, or Preview. For flat forms without clickable fields, use Acrobat's Fill & Sign tool to overlay text. Add a drawn signature directly in Acrobat Reader. Always Save As to preserve the blank original. For legally sensitive documents, check whether a certified digital signature is required.
